Purchase orders

Build and check a purchase order

The purchase order page from Review order to ready to send: the details strip, the products table, units and the order summary.

Updated Oct 13, 2026

The purchase order (PO) page is where a draft becomes an order you can send. It is laid out like the Results page: your products on the left, a sticky order summary on the right.

Getting here and back

On the Results page, Review on the rail's last line, the Purchase order tile, Review order in an add message, or the O key opens the order straight away. Back to results, at the top of the page, returns you to the exact view you left: the same filters, the same product and the same scroll position.

Next to the order number, Export shows any of the order's files (the PDF, Excel or CSV for your supplier, their own templates, or your buy sheet) before you download it. Nothing is sent. See Send and export POs.

Order details

One strip under the order number holds the details a supplier needs. Click any of them to change it in place:

  • Supplier: who the order goes to. Picking one fills in the supplier's payment terms when the order has none yet.
  • Ship to: where the supplier ships, with the full address. Tick Use for new orders to make it your default; new orders then offer it in one click.
  • Ship by: optional.
  • Payment terms: Net 30, Net 60, Net 90, Due on receipt, Prepay, Credit card, or Custom with your own words (for example "50% deposit, balance Net 30").

Products

Each product shows its photo, title, ASIN and brand, then:

Column What it is
Units/case Units inside one supplier case
Cases Cases you order; use the stepper or type a number. The units it makes appear underneath
Unit cost The supplier's cost for one unit
Line cost Units times the unit cost, after any product discount
Sell price The price per Amazon listing. On narrower screens it sits under Est. profit; click it to change it
Est. profit After Amazon fees, prep and inbound, before the order's discount, freight and tax

Products that need a look are tinted. Use Needs attention to see only those, search with /, and add research columns (competition, sales rank, price history and more) from Columns.

Purchasing units

Units are confirmed for you whenever a product is added or changed. A product only needs you when the rule can't be sure, for example when the Amazon pack size isn't confirmed. Those show a Confirm button in the Units/case column: set how the supplier sells it (case or each), the units per case, the Amazon pack size and the unit cost, and check the line underneath ("1 case = 12 units = 6 listings of 2") before you confirm. Confirm N in the order summary confirms every product whose values are complete in one click.

Order summary

The rail on the right (a bar under the table on narrower screens) shows:

  • Goods, order discount, freight and tax, with the discount, freight and tax editable in place, and the Total.
  • Est. profit, ROI and margin, once every product is complete. Until then it says what is missing ("Missing: units on 2, unit cost on 1") and Show them takes you to those products.
  • If the supplier gives 5% off: what a discount would add to your profit, and Apply as order discount.
  • Before you send: what the order still needs, each with one action.

A supplier, a ship-to, at least one product, confirmed units and unit costs are required before you send. Ship by is optional. Warnings (a projected loss, estimated fees, a supplier minimum not reached) never block; you acknowledge them once when you send.

Changing many products at once

Select products to set their cases, unit cost or discount together, confirm their units, move them to a new order, or remove them. Select all only takes the products you can see, so a filter or a search keeps the others out of it.

Note to supplier and attachments

Under the products, the note to supplier saves itself when you click away, and it prints on the supplier copy. Attach PDF, JPG or PNG files up to 10 MB, or drop them on the section.

When the summary says Ready to send, see Send and export POs: Review and send shows the files your supplier gets, already chosen.
